You can enable rules in Lotus Notes for just about any condition. You can base a rule upon the name of the sender, his or her domain, or the contents of the subject. You can specify several types of actions for each condition.

For example, you can enable a rule that copies all messages sent to you by your supervisor into a "supervisor" folder. You can set e-newsletters to automatically expire if you have not read them within a week.

Enabling rules could keep your inbox clean and organized.

Below are the instructions for setting up a rule in Lotus Notes, using the example of sending a text message to your cell phone. If you do not want to set up a rule to text you, select the appropriate preferences at step five.

  1. Click on the Tools folder, on the left hand side of your Lotus Notes window
  2. Click New Rule in the top toolbar inside your Lotus Notes window
  3. A pop up appears. Under Specify Condition, select sender from the drop down, and type the name of the sender in the corresponding text box.
  4. Click Add. (If you want to add more conditions to the same rule repeat this step. For example, if you get many e-mails from the sender, but you only want to enable a rule for e-mails regarding a certain subject, specify another condition, and this time choose subject instead of sender.)
  5. Specify the actions that will happen as a result. Under Specify Actions, choose the action(s) you prefer. To send a text message to your cell phone, select Send Copy To and then type your cell phone SMS information.
  6. Click Add
  7. Click OK
